Receptionist – Job Description
The Receptionist is responsible for providing professional and friendly service to guests while supporting the smooth daily operation of the Front Office.
Key Responsibilities:
Welcome guests and assist with check-in and check-out procedures.
Manage daily arrivals, departures, and guest requests.
Ensure reservations and guest information are correctly recorded in the PMS.
Handle telephone calls, emails, and online guest messages professionally.
Process cash, card, virtual card, and other payments accurately.
Issue invoices and receipts and ensure guest balances are correctly maintained.
Coordinate with Housekeeping regarding room readiness, cleaning priorities, and guest requests.
Prepare keys, access codes, and self check-in instructions for arriving guests.
Assist with late arrivals, early check-ins, and late check-outs according to hotel procedures.
Provide guests with information about the hotel, transportation, restaurants, attractions, and local services.
Handle guest complaints professionally and report significant issues to the Front Office Manager or Management.
Report and follow up on maintenance problems affecting guest rooms.
Maintain an organized, clean, and professional reception area.
Complete daily Front Office checklists and ensure proper handover of pending matters.
Follow hotel policies regarding payments, guest privacy, security, and confidentiality.
Support other Front Office duties as required for the smooth operation of the hotel.
Required Skills:
Excellent communication and customer-service skills, professional appearance and attitude, good organizational skills, attention to detail, and the ability to work under pressure. Good knowledge of English and basic computer skills are required. Previous hotel or customer-service experience is considered an advantage.
