# Personal Assistant to Managing Director / Family
**Location:** Limassol, Cyprus
**Working Hours:** 09:00–18:00 or 08:00–17:00
**Friday:** Short working day

### About the Role
We are looking for a highly organised, sharp, and proactive Personal Assistant to support a successful business owner and their family in Limassol.
The family is involved in multiple businesses across Cyprus and internationally, and this position will provide a combination of executive, business, administrative, travel, and personal support.
This is a position for someone who is fast, resourceful, discreet, and solution-oriented — someone who does not wait to be told what to do, but can understand what is needed and make it happen efficiently.
The successful candidate will become a trusted point of contact for the family and will be expected to handle a wide range of responsibilities with professionalism and confidentiality.
Key Responsibilities
Executive & Business Support
* Manage the daily calendar, meetings, appointments, and schedules.
* Coordinate meetings with business partners, clients, lawyers, accountants, authorities, and other professionals.
* Arrange and coordinate business meetings locally and internationally.
* Manage correspondence, documents, and administrative requests.
* Prepare, organise, translate, and submit documents when required.
* Follow up on outstanding matters and ensure tasks are completed on time.
* Communicate with different businesses and service providers on behalf of the family.
* Handle sensitive and confidential information with complete discretion.
Travel & International Arrangements
* Book flights, hotels, villas, transfers, and private drivers.
* Organise complete travel arrangements for the family and business trips.
* Coordinate airport transfers and transportation abroad.
* Manage last-minute changes, cancellations, and travel requirements.
* Ensure all travel arrangements run smoothly from departure to return.
Government & Administrative Matters in Cyprus
* Communicate directly with Cypriot authorities and government departments when required.
* Assist with work visas, permits, applications, and related documentation.
* Translate documents between Greek, Russian, and English.
* Handle appointments and correspondence with government offices.
* Follow up on applications and administrative procedures until completion.
Vehicles & Company Administration
* Coordinate MOT appointments, vehicle registrations, insurance, servicing, and other car-related matters.
* Communicate with garages, dealerships, insurance companies, and relevant authorities.
* Maintain records and ensure company vehicles remain properly registered and compliant.
* Handle various company-related registrations and administrative requirements.
Family & Personal Support
* Arrange appointments, bookings, reservations, transportation, and other personal requirements for the family.
* Coordinate activities and arrangements for family members when required.
* Assist with personal and household-related administrative matters.
* Be available occasionally outside normal working hours for urgent or time-sensitive requests.
* Provide support to the family while they are travelling internationally.
Working Hours & Availability
The standard working schedule will be either **08:00–17:00 or 09:00–18:00**, depending on the family's requirements.
The successful candidate should be comfortable assisting with occasional urgent requests, travel changes, bookings, or other matters outside office hours.
This does not mean constant availability, but flexibility and a willingness to assist when genuinely required are an important part of the position.
**Friday is a shorter working day**, in accordance with the family's religious observance of Shabbat.
Requirements
*Fluent English, Russian, and Greek — mandatory.
* Previous experience as a Personal Assistant, Executive Assistant, Office Manager, Family Assistant, or in a similar role.
* Excellent communication and interpersonal skills.
* Strong organisational and time-management abilities.
* Ability to work quickly and efficiently while maintaining accuracy.
* Comfortable communicating with government authorities and professional service providers.
* Strong knowledge of Cyprus and local administrative procedures.
* Excellent computer skills and confidence using Microsoft Office and online platforms.
* Ability to manage multiple priorities simultaneously.
* A proactive, practical, and "can-do" attitude.
* High level of discretion, confidentiality, and professionalism.
* Valid driving licence and the ability to drive in Cyprus would be a strong advantage.
