Role — Veterinary Clinic Service OfficerSalary 1350-1650Responsibilities:- Act as the first point of contact for clients and their pets, in person, by phone, and by email.- Book and manage appointments and keep the daily schedule running smoothly.- Welcome clients, check patients in, and keep the reception and waiting area calm and organised.- Handle billing, payments, and invoices accurately.- Maintain accurate client and patient records.- Support the veterinary and nursing team with day-to-day administration.- Manage follow-ups and reminders for vaccinations, check-ups, and repeat visits.- Handle enquiries and sensitive situations — including anxious owners and emergencies — calmly and with care.Requirements:- Experience in customer service or a front-desk role, ideally in a veterinary or medical clinic.- A warm, calm manner and genuine comfort around both people and animals.- Strong organisation and the ability to manage several things at once.- Greek and English; additional languages an advantage.- Confident with booking systems and basic computer tasks.- Empathy and composure when dealing with distressed owners or sick animals.Ως η «φωνή» και το «πρόσωπο» της κλινικής μας, οι βασικές σας αρμοδιότητες θα είναι:Υποδοχή & Εξυπηρέτηση: Θερμό καλωσόρισμα των κηδεμόνων και των κατοικιδίων τους, δημιουργώντας ένα κλίμα ασφάλειας και εμπιστοσύνης από την πρώτη στιγμή.Διαχείριση Ραντεβού: Συντονισμός και προγραμματισμός των επισκέψεων και των χειρουργείων σε συνεργασία με την ιατρική ομάδα.Επικοινωνία: Διαχείριση των τηλεφωνημάτων, των emails και των μηνυμάτων της κλινικής για την άμεση εξυπηρέτηση των πελατών.Οργάνωση Γραμματείας: Τήρηση και ενημέρωση των ψηφιακών αρχείων και των ιστορικών των ασθενών στο κτηνιατρικό λογισμικό. This role combines administrative excellence with patient-centered care, ensuring smooth operations and exceptional service for our patients and donors throughout their treatment journey.Job ResponsibilitiesCoordinate and manage patient and donor appointments, ensuring all timelines are met.Maintain and update patient files in the CRM system with therapy details, treatment plans, medications, lab results, consent forms, and more.Communicate with clinics locally and internationally to align schedules and coordinate care.Handle payments, planning, and budgeting for patient and donor treatments.Monitor and follow up with patients throughout their treatment process.Prepare monthly performance reports for presentation to management.Assist with administrative tasks, including billing, record-keeping, and correspondence.RequirementsFully fluent in English (written and spoken); additional languages are a plus.Strong organizational and multitasking skills.Highly proficient in Microsoft Excel, Word, and CRM systems.Comfortable using tools such as Google Calendar, Google Drive, Facebook, Instagram, and other digital platforms.Excellent communication and interpersonal skills to interact with patients, donors, and team members.Previous experience in a medical or patient-facing role is highly desirable.Attention to detail and ability to work independently while maintaining team collaboration.Working Hours: 9:00 AM to 6:00 PM (1-hour break)On-Call: 1 or 2 Saturdays per monthCompetitive salary based on qualifications and experience.Opportunities for career advancement and growth.Continuous education and training to develop your skills.
